For AUXDATA II Support please create a Service Request in AUXDATA II if you have access to do so. If you DO NOT have access to AUXDATA II, please Submit a Ticket at the USCG Auxiliary National Help Desk at https://cgaux-helpdesk.kayako.com or contact an IS or other officer for assistance. If possible, please select what Kind of Help you need assistance with, or describe this in the ticket.

 

AUXDATA II ANNOUNCEMENTS    

Recurring Updates

AUXDATA II performs system maintenance and product enhancement on a regular cycle.

Unless otherwise announced, AUXDATA II will remain online during the update periods. System behavior may be temporarily impacted during the updates. Should you experience unexpected system behavior during a maintenance update window, please wait until the maintenance window is closed and try your activities again prior to reporting the problem.

Two Factor Authentication (2FA) 

As a security measure, AUXDATA II requires the use of two-factor authentication (2FA), which involves an additional step after you login with your username and password.

After logging in with your username and password, you'll be redirected to a screen indicating a one-time passcode is required. You'll have the option to receive the passcode by email or with a mobile device authentication app. (See the IMPORTANT NOTE below.)

** IMPORTANT NOTE: For newly activated AUXDATA II accounts we strongly recommend using email as the method to deliver your first 2FA passcode. Users have reported issues with using a mobile authenticator app for their initial activation. **

For email 2FA, you will receive a six-digit passcode. Check your spam or junk folder if you don't receive the email.

Once you have your 2FA passcode, go back to the AUXDATA login screen showing the one-time passcode instructions, select "next", enter the passcode on the next screen, and select "next" again.

If you do not receive a passcode activation email, or you encounter other login/password reset issues, and you have checked your spam or junk folder, submit a ticket at https://cgaux-helpdesk.kayako.com/ .

AUXDATA II SUPPORT Help Desk / Service Requests  

Please consult the available AUXDATA II resources prior to submitting a Help Ticket, as these resources may answer your questions without needing to submit a Help Ticket. The available AUXDATA II resources include Frequently Asked Questions, How To Guides, and slide deck tutorials.

The primary method of submitting an AUXDATA II Help Ticket is through the AUXDATA II Service Request feature. Log into AUXDATA II. Click on "Requests", then "New", then "Service Request" and complete and save the form.

AUXDATA II Service Tickets submitted through the National Help Desk will be routed to the AUXDATA II Support Team. This method may be used if you're unable to log into AUXDATA II to submit a ticket through the "Service Request" feature noted above.

Recommendations for Improvements / Feature Enhancements       

Recognizing AUXDATA II as a system continuously evolving and improving, the Coast Guard has established a process to capture, catalog, validate, and prioritize issues and recommendations received from user feedback.

If you have a proposed feature enhancement that could improve the system, submit your proposal through your IS Chain of Leadership and Management.

District-approved recommendations are submitted through AUXDATA II National Staff for further consideration by the Configuration Advisory Board.

Major Update Notes       

Major Update = Competency Management System

Start Date: 14 NOV 2023

Status: Update complete.

End Date: 28 NOV 2023

AUXDATA will not be taken offline during the update.

NOTE: Auxiliary Community users will see an informational message below their name on the AUXDATA home screen to alert them when the updates are in progress.

Expected System Behavior During the Update:

* The update will include a complete refresh and rebuild of Member Competency Tasks (MCTs). Seeing MCT records missing during the update will be normal. Do not be alarmed by this!

* User interfaces for Member Competency (MC) and MCT records will be rearranged for an easier visual experience and will display new fields to assist with record management.

* Some Tasks will be temporarily unavailable for data entry during the update. The downtime for affected Tasks should be brief and will be experienced as the Task not being available in the Task Type picklist during Task entry. The Task will reappear in the picklist when any updates specific to it are complete.

* Once the system update is complete, MCs will reflect one MCT per Competency requirement. For Task based requirements, the MCT will reference the most relevant Member Task as available. All other historical records for the same Task will still be found in the Member Tasks section of a Member's record (under the Related tab).

* The Training Management Catalog of the Quick Stop Reports will be replaced with new and improved, all-inclusive Competency Management reports, simplified reports for critical Task deadlines, and reports highlighting new and enhanced Competency Management features.

Authorized Update 22 NOV 2023

* Competencies and Tasks related to FAA ratings and certifications as a provider or instructor for CPR, First Aid, EMT, Paramedic, First Responder, and BLS were converted to Skills.

Historical AL Mission Code Adjustment

* Historical Activity Logs using 07D with the AUXCHEF Ops Code were converted to 96A. Update permits historical lookback for CA1 and CA-IT hours. (Ref ALAUX 034/22)

Task Categories Updated

* Tasks assigned to new categories for data entry. Contact IS COLM for reference list.
