POSITION ANNOUNCEMENT
Position Title: Assistant District Staff Officer - Human Resources - Auxiliary Applicant Management System (ADSO-HR-AAMS)
Reports to: District Staff Officer - Human Resources (DSO-HR)
Position Summary:
The Human Resources team is seeking a dedicated and organized individual to serve as the Assistant District Staff Officer for the Auxiliary Applicant Management System (ADSO-HR-AAMS). This vital role is responsible for the oversight and management of the AAMS, the system used to track prospective members of the U.S. Coast Guard Auxiliary.
The ideal candidate will be a proactive leader, ensuring that all prospective members who express interest in joining receive timely and consistent communication from our local HR officers. This position is key to maintaining a healthy and growing membership.
Key Responsibilities:

System Management: Oversee the use of the Auxiliary Applicant Management System (AAMS) across the district, ensuring SO-HR and FSO-HR officers are updating the system accurately and promptly for all prospect interactions (email, phone, text).

Lead Monitoring: Regularly review all incoming leads within the district's AAMS portal. Follow up with the respective SO-HR or FSO-HR officers on any prospect who has not been contacted within a 5-day period.

Timeliness and Accountability: Ensure that initial contact with new prospects is made within 24 hours of referral. If a prospect has not been contacted within ten days, escalate the follow-up to the relevant HR officer and Flotilla Commander if necessary.

Training and Support: Become a subject matter expert on the AAMS. Receive training from the DVC HQI National Officer and subsequently arrange and schedule AAMS training for all SO-HR and FSO-HR officers within the district. Provide ongoing support as needed.

Reporting: Compile and deliver a monthly report to the DSO-HR detailing the number of prospects received, the number of new members who have joined, and the number of prospects who did not join. Include any other pertinent information or trends.

Ability to manage and motivate a team of volunteer officers.

Proficiency with online systems and a willingness to become an expert in the AAMS platform.

Self-motivated with the ability to work independently and meet deadlines.
